Position Summary:
The Coordinator supports the Events & Conference Services department with administration, sales, event coordination and execution and conference operations. This includes coordinating client contracts, scheduling facilities and services (ex: space reservations, catering, housing, staffing, etc.), and managing logistics for external events. This role also maintains marketing materials (ex: website, memberships, printed materials, etc.), and acts as a liaison for external clients and event organizers before and during and post events.
This position is the main point of contact for external space reservation requests and assists in managing the space reservation platform for internal events. The Coordinator also supports internal functions, including but not limited to, Admissions, Student Life, and Academic Affairs events. Responsibilities include assisting in reserving rooms, arranging event set-ups, managing AV requirements, and onsite support the day of the event. The role also assists the Assistant Director with high-profile events (Commencement, Convocations, dedications, etc.). This is an in-person, on-campus, non-remote position.
Key Responsibilities:

Manage a medium-to-large portfolio of external clients.

Handle all phases of external event coordination including communications, contracts, invoicing, insurance, staffing, and on-site presence.

Promptly respond to phone, email, and walk-in inquiries. Generate and distribute weekly event schedules for campus-wide services.

Assists in budgeting, expense tracking, purchasing, and financial reconciliation for events and conferences.

Oversee summer conference operations (ex: housekeeping, scheduling, etc.)

Provides training, oversight and mentorship to student Conference Assistants during summer conference season.

Support development and display of digital and marketing materials.

Maintain the department’s website, membership pages and other digital content for the department.

Process internal and external room reservation requests.

Coordinate event layouts, catering, and audiovisual needs.

Supervises student workers and staff volunteers.

Assist with high-profile internal events and perform miscellaneous projects as assigned.

Provide onsite event support and troubleshooting as needed.

Education:
-
Associates degree required.
-
Bachelor’s degree preferred.

Equivalent experience may substitute for some educational requirements.
Work Experience:

Minimum of 1–3 years in event coordination, operations, or hospitality.

At least 1 year of management/supervisory experience preferred.
Additional Requirements:

Experienced in event planning, client service, and operational logistics.

Familiarity with space reservation software (ex: 25Live) and event AV coordination.

Strong organizational skills and attention to detail.

Excellent verbal and written communication.

Ability to manage multiple projects in a fast-paced environment.

Proficient in Microsoft Office and online collaboration tools.

High degree of independence, professionalism, and customer service orientation.

Ability to work evenings and weekends as needed.

Able to lift up to 25 lbs and walk/stand for extended periods during events.

High level of professionalism and adaptability under pressure.

Valid driver’s license preferred.

Work is primarily on campus in an event and office environment.
